How FellowHire collects, uses, and protects your data. Plain English first. Legal precision where it counts.

Who we are

FellowHire is a product of Dondich Creative LLC d/b/a FellowHire, a Nevada limited liability company.

When this policy says "we," "us," or "FellowHire," we mean Dondich Creative LLC.

What this policy covers

This policy covers two things:

  1. The FellowHire website at fellowhire.com.
  2. The FellowHire product, which is the AI fellow service we deliver to customers.

Both are run by Dondich Creative LLC.

What data we collect

From people who visit the site

When you visit fellowhire.com, we collect anonymized request data through Plausible Analytics. Plausible is cookieless. We do not track you across the web. We do not build a profile on you.

From people who fill out the demo form

When you ask for a demo, you give us your name, work email, company, role, and an optional phone number and message.

From customers under contract

When a customer signs an annual agreement, we collect:

  • Account and contract details (signer name, billing contact, billing address, payment method through Stripe).
  • Customer-provided training data that you choose to give us. This includes things like style guides, sample work product, and product documentation we use to build and calibrate your fellow.
  • Customer workspace data. This is the Slack messages, Microsoft Teams messages, and integration outputs that your fellow processes during normal operation, scoped to the channels and integrations you approved during setup.

From product usage

We collect usage telemetry and audit logs. These show what the fellow did, when, and on what scope. They are retained to SOC 2 standards.

Cookies

We do not use tracking cookies. We do not use advertising cookies. The site uses only the strictly necessary cookies needed for it to work (for example, a session cookie if you log in to a customer area).

How we use it

We use data to:

  • Provide the FellowHire service.
  • Build, calibrate, and tune your fellow.
  • Support your team and answer your questions.
  • Bill you and keep accurate records.
  • Run security and audit operations.
  • Meet our legal obligations.
  • Respond to demo requests and onboarding questions.

We do not use customer data for advertising. We do not sell customer data. We do not use customer data to train AI models.

Who we share data with

We share data only with sub-processors who help us run the service. These include:

  • Model providers: OpenAI and Anthropic models, run through Amazon Bedrock inside our AWS environment. Bedrock does not use your data to train models and does not share it with the model providers.
  • Cloud hosting: Amazon Web Services. Customer data lives in isolated AWS environments. US regions by default. EU on request.
  • Payment processing: Stripe.
  • Email and hosting providers needed to operate the service.
  • Professional advisors (lawyers, accountants, auditors) under confidentiality.

We never sell your data. We never rent your data. We never give your data to advertisers.

Connected services and QuickBooks data

Your fellow only reaches the tools you connect. Every connection is authorized by you, scoped to what you approve, and can be disconnected at any time.

If you connect QuickBooks Online, you authorize FellowHire through Intuit's own consent screen. Here is exactly how we treat your QuickBooks data:

  • We access your QuickBooks company only under the accounting permission you granted — things like customers, invoices, payments, bills, reports, and time activities.
  • We use that data solely to do the bookkeeping work you direct your fellow to do. Never for advertising. Never sold. Never used to train AI models.
  • Your QuickBooks data is processed inside your own isolated environment, like all your other customer data. Connection tokens are stored encrypted.
  • You can disconnect at any time — from FellowHire, or from the connected-apps settings in your Intuit account. When you disconnect, we delete the stored QuickBooks credentials from your environment and your fellow immediately loses access.
  • Reconnecting always requires fresh authorization through Intuit.

The same principles apply to every other service you connect (Slack, Microsoft Teams, file shares): access only with your authorization, used only for the work you direct, removed when you disconnect.

How customer data is kept separate and secure

Each customer runs in an isolated AWS environment. Customer data does not commingle between customers. Customer data is not used to train AI models.

FellowHire is built to SOC 2 and ISO 27001 standards, with formal certification in progress. Encrypted in transit (TLS 1.3) and at rest (AES-256). Customer data is never used to train AI models.

How long we keep data

Customer data is deleted within 30 days on request or per the timeline in your DPA. Audit logs are retained to SOC 2 standards and then deleted. Marketing data (for example, your demo form submission or your email subscription) is kept until you ask us to delete it or you unsubscribe.

Your privacy rights

Depending on where you live, you have rights over the data we hold about you. These can include the right to:

  • Access the data we hold about you.
  • Correct data that is wrong.
  • Delete data.
  • Receive a copy of your data in a portable format.
  • Restrict how we process your data.
  • Object to certain kinds of processing.
  • Opt out of marketing emails.
  • Opt out of "sale" or "sharing" of your personal information. We do not sell or share for cross-context behavioral advertising, but you have the right regardless.

To exercise any of these rights, email [email protected]. We respond within the timeline required by the law that applies to you.

If you are not satisfied with our response, you can complain to your local data protection authority.

International data transfers

If you are outside the United States, your data will be transferred to and processed in the United States. We rely on Standard Contractual Clauses (SCCs) and the EU-US Data Privacy Framework (DPF) where applicable. EU-region hosting is available on request.

Children

FellowHire is a B2B product. It is not directed at children under 16. We do not knowingly collect personal information from children under 16. If you believe a child has given us personal information, email [email protected] and we will delete it.

Changes to this policy

We may update this policy. When we make a material change, we update the "Last updated" date at the top of this page and, where appropriate, notify customers by email or in-product.
